About GivBase
We built it because we saw the problem up close.
GivBase started with a single pantry, a burned-out coordinator, and a spreadsheet that couldn't keep track of real people who needed real help.
Our mission
Every visit should count.
Food pantries do extraordinary work with limited resources. Volunteers show up week after week to serve their neighbors. But the tools they use haven't kept pace. Paper lists get lost. Excel files get corrupted. Month-end reports take hours and still come out wrong.
The consequences are real. When visits go uncounted, food banks see artificially low demand numbers, and funding follows. Real need gets underreported, and the people who most need help pay the price.
GivBase exists to close the gap between the work people do and the records that represent it. A simple, fast check-in system that any volunteer can use from day one, automatically producing accurate, ready-to-send reports. Free for qualifying organizations, no strings attached.
What we believe
The principles that guide our development.
Privacy isn't optional.
Pantry clients are in a vulnerable position. We store the minimum data necessary and encrypt sensitive fields. No marketing. No data selling. That's not a selling point — it's just who we are.
Speed is respect.
The person waiting in line doesn't care what software you use. They care how long the line is. GivBase keeps it moving.
Free means free.
Client tracking, visit history, TEFAP and CSFP reporting are free for every pantry, forever. No credit card. No trial period. No catch. Optional communication tools are available for pantries that want them — but the core never costs a thing.
TEFAP compliance
Built for federal compliance from the ground up.
TEFAP reporting is one of the most time-consuming obligations a pantry coordinator faces. GivBase turns it into something that just happens in the background.
Compliant intake, automatically.
When TEFAP enrollment is enabled, the registration flow collects income self-attestation, household demographics, and county — every field the federal program requires — without any extra steps for the volunteer.
Unduplicated household counts, done for you.
TEFAP reports require unduplicated household counts, which is exactly why spreadsheets fail. GivBase deduplicates at the database layer on every export. The number is always right.
One-click monthly reports.
Age distribution, ethnicity breakdown, income levels, visit counts — all compiled into a ready-to-submit report at the end of every month. No manual counting. No formulas.
The origin
One pantry. One spreadsheet. Too many errors.
"
Build something a 70-year-old volunteer can use on a phone, that still produces a report you can send with one click.
The original ask that started GivBase
GivBase was built in direct collaboration with a regional food bank network serving tens of thousands of households each month. The spark was watching pantry coordinators spend hours each month manually counting visits from paper lists and wrestling with Excel formulas to produce the unduplicated household counts their food bank required.
That's the problem GivBase was built to solve. Not someday, not eventually. From day one, for any pantry that needs it.
